Mailing Labels – Report Generator



Summary:

This Report Generator Report will produce a list of Patient names and addresses with instructions on how to print labels.

This report has been customized for you.  This report uses specific patient file criteria you have indicated to build the list.  Patient files which have been flagged with negative appointment intervals are eliminated from the list. Patient files which have an asterisk (*) added to the beginning of the last name are eliminated from the list.  Only patients age 20+ are included on the list.

If you choose to print these labels directly from ABELDent's report generator then the recommended labels are: Avery Labels for Laser Printers Product Number 5160. The resulting label printout will be 3 across and 10 down on a standard size sheet of 8 ½ x 11 (30 labels per page).  NOTE: by choosing to print labels at this step you will not have the opportunity to review, then eliminate labels.  You would have to proceed to export this list to Microsoft word and open the label program in word. Word offers great flexibility in this area with regards to reviewing the list of matches, eliminating matches and label size choices etc.  Either way, you must start out with this report in the report generator.



Steps:

1. Open ABELDent.
2. Select Reports, then Generator from the menu.
3. At menu, select Table Selection, click OK.
4. Select table:    Patients    
5. Click OK.
6. At menu, select Field Layout, click OK.
7. At “Patients” file field parameters enter the following field values: leave all others at their default:      

Patient ID       0 A
Last Name      1 C
First Name     0 B
Address          0 D
City Name      0 E
Postal Code    0 F
Appt. Int.       0 G
Age                 0 H

8. Click OK
9. At menu, select Criteria Entry, click OK
10. At “Selection of Records”, enter the fields as indicated:

Full Name: A        To: Zzzzzzz     
Appt Int    : 0         To: 99     
Age: 20            To:100         

11. Leave all other fields at their default.
12. Click OK
13. At menu, select Generate Report, click OK
14. After scanning for records that meet the criteria entered, the Report Generation dialog screen will display.
15. Click OK
16. At Print Report, select Preview (You are not required to print this list).
17. Click Close.  (NOTE: if you wish to export this list to Microsoft word and print from there skip to step 26 at this time.  Choose this option if you wish to have more flexibility in label choices or in editing the recipient list)
18. At menu, select Mailing Labels and click OK.
19. At Print Patient Mailing Labels window, click OK
20. At menu, select Save As and save report with file name MailingLAB
21. Select Save
22. Click OK
23. To print these labels again in the future.
24. Select Reports, then Generator and click Open.
25. Double click the report MailingLAB
26. At menu, select Export Results, click OK.
27. The Create Merge File window will display.
28. At Merge Format, enter an M
29. At Output File, enter LABELS.doc 
30. Click OK
31. Click YES to create merge file
32. At menu, select Save As and save report with file name MailingLAB
33. Select Save
34. Click OK
35. Click cancel, then no, to close report generator menu.
36. Exit or minimize ABELDent
37. Open Microsoft Word
38. From the toolbar, select Tools, then Letters and Mailings, then Mail Merge Wizard
39. At Select Document Type, select Labels
40. At Step 1 of 6, click on Next: Starting Document
41. At Select Starting Document, select Change Document Layout
42. At Change Document Layout, click on Label Options, select the appropriate label product that you wish to use and click OK
43. At Step 2 of 6, click on Next: Select Recipients
44. The Select Data Source window displays.
45. At Look In, navigate to the ABELDent folder to locate the saved document LABELS.doc  (This was the name of the Merge File created in the report generator).  Click OK.
46. Note: Select No if you receive a message about installing a Microsoft word converter.
47. At File Conversion window, click OK.
48. The Mail Merge Recipients window will appear.  This window will allow you to edit information within any column.  I.e.: remove names from list, edit spelling, etc.  Therefore, edit if required, or click OK to proceed without editing the list.
49. The template setup screen appears.
50. At Step 3 of 6, click on Next: Arrange Your Labels 
51. At Arrange Your Labels, select More Items and use the Insert Merge Field list to insert where any extracted information is to be inserted.
52. Select the required merge field item from the list, beginning with FIRSTNAME click on the Insert button and click Close.  Spacebar once.
53. Select More Items, select LASTNAME click on the Insert button and click Close.  Hit Enter once.
54. Continue using the More Items feature to complete the setup of the label using the merge selections of Address, City Name and Postal Code.
55. NOTE: Do not hit enter after the last merge field of Postal Code has been entered.
56. At Replicate Labels, click the Update all Labels button.  All label templates are updated to match the original label, including the wording <<Next Record>>; do not remove this wording.
57. At Step 4 of 6, click on Next: Preview Your Labels.  
58. At Step 5 of 6, click on Next: Complete the Merge.
59. At Merge, click the Print option.
60. The Merge to Printer window will display.  (Ensure that you have labels in the printer).
61. Leave the selection at ALL and click OK
