How to Reuse a Patient Record



Summary:

In some cases a patient file is opened and demographic details are entered, but the patient never actually comes in for an appointment and no treatment is ever recorded.  In these cases, where no treatment or financial entries have been entered, the PID number can be held and later reused by a new patient.

NOTE: In order to maintain the integrity of the ABELDent database we do not allow you to reuse inactive, unused or duplicate patient records. These records take up an insignificant amount of the disk space available on your system. 


Steps:

1. Open the patient record you wish to reuse.

2. Click the Treatment tab and make sure that there is no treatment history recorded.  If there is you cannot reuse this file.

3. Click the Financial tab and ensure that there are no financial transactions recorded.  If there is you cannot reuse this file.

4. Click the Personal tab and clear all information out of the Personal Information category and change the last name to "Reuse".

 

Important:  Make sure the patient is already marked as a Householder and Account Holder as they may already be linked to a family group.

5. Clear all information which may have been entered into the Insurance or Appointment tabs.

6. When you are ready to assign the file to a new patient, simply search for the patient record with the Lastname of "Reuse".

7. Select the "Reuse" patient and change the Last Name to the name of the actual patient.
