How Do I Create a List of Active Contacts?



Summary:

Available in ABELDent SQL 13.2 and later

Run the Active Contact List report. It prints a list of patients that have a contact setup within a specified date range along with their phone number and details of the patient contact required.



Steps:

1. Click Contacts > Reports > Active Contact List.

The Active Contact List dialog appears.

2. Select one of the following date options to appear in the report.

  • Due Date if you want to show the date the contact is due in the report.

     or

  • Contact Date if you want to show the date the patient should be contacted about their appointment.

The Due or Contact date will only appear in the report if each is recorded on the actual Contact record in ABELDent.

3. Enter the From and To date or date range. All contacts that are within the range you set will appear in the report giving you the opportunity to book appointments.

If you enter a From date that is before today, you can locate old contacts that are now considered overdue. You should review these old contacts from time to time as they could still generate revenue for the office. If you find the old contacts belong to patients who are no longer coming to the practice, you should delete the contacts and consider inactivating the patient.

The Contact Flag field can be used to include in the report only those contacts with flag information set on the patient Notes tab. It is recommended that you leave this field blank so that those patient contacts without flags are also shown in the report.

4. In the Provider list, do one of the following:

  • Click Select All and ABELDent will search all patient contacts regardless of the provider to whom it is attached.
  • Click to select one or more Providers and ABELDent will search all patient contacts for the provider(s) you selected.

5. In the Work to Do field, do one of the following:

  • Leave it blank if you want to include all contacts regardless of the Work to Do.
  • Select or type a Work to Do (such as rc for recall contacts) and the report will include only those contacts with a Work To Do that matches the one you entered. Use the Starts With button to help you search for a Work to Do. See Searching and Displaying Contacts in Treatment Manager to learn how to use this option.

6. Click the down-arrow in the Sort field, and select how you want the report sorted, by Date, Dentist, Provider, Patient Name, Sex or Last Recall Date.

7. Click Contact Notes, if you want the notes attached to a contact shown in the report.

8. Click Mailing Labels if you want to print a label for each patient contact found in the report immediately after generating the report. Mailing Labels print on a standard 3 across, 10 down (15/16" x 3½") size sheet of labels for laser printers. For example, Avery Product No. 5160 matches this format.

9. Click OK. The report appears on screen.
 
10. Once you've finished previewing the report, do either of the following:

  • To print the report, click the Print  icon.
  • To export the report, click the Export  icon.
