Creating a Mailing List for Transfer to Floppy Disk



Summary:

This Report Generator Report will produce a list of Active Account Holder names and addresses and instructions on how to transfer this information onto a floppy disk.
  
This report will use specific patient file criteria to build the list. Patient files which have been flagged “Inactive” will be eliminated from this list. Patient files which have been flagged with inactive appointment intervals can also be used to eliminate names from the list.


Steps:

1. Open ABELDent.
2. Select Reports, then Generator from the menu.
3. At menu, select Table Selection, click OK.
4. Select table:            Patients            
5. Click OK.
6. At menu, select Field Layout, click OK.
7. At “Patients” file field parameters enter the following field values: leave all others at their default:

Last Name     1 2
First Name     0 1
Address     0 3
City Name          0 5
Postal Code     0 6
Charge To     0 
Appt. Int.     0 
Inactive?     0 
Address Line2     0 4

8. Click OK
9. At menu, select Criteria Entry, click OK
10. At “Selection of Records”, enter the fields as indicated:

Last Name:A         To:zzzzzzz       (complete as shown)
Charge To:00000     To:00000      (Leave as is)
Appt. Inter: xx         To:xx             (Where xx is the required range of Recall Intervals that you do  want to include.  Negative Recall  Intervals may be used in order to include names of Account Holders who are NOT patients, as well as positive Recall Intervals for current Active Patients – e.g.:( -1 To 99))

Inactive:          (Leave unchecked)

11. Leave all other fields at their default. 
12. Click OK
13. At menu, select Generate Report, click OK
14. After scanning for records that meet the criteria entered the Report Generation dialog screen will display. 
15. Click OK
16. At Print Report, select Preview 
17. Click Close
18. At menu, select Export Results, click OK  
19. At Merge Format, enter M
20. At Output File, enter a file name of MailingList.doc (Note: it is important that it is a .doc extension) 
21. Click OK (Note, this merge file is automatically stored in the ABELDent directory). 
22. Select Yes to create a merge file. 
23. At menu, select Save As and enter a file name of MailingList (for reuse in the future). 
24. Select Save 
25. Click OK 
26. Exit or minimize ABELDent 
27. Double click on My Computer 
28. Double click on the drive that contains ABELDent (usually C drive or Local Disk C) 
29. Double click on ABELDent 
30. Locate the document MailingList.doc 
31. Right click on Mailinglist.doc 
32. Select Send To and 3 ½” Floppy
