Cancelled Appointments Report



Summary:

This will create a report to show all appointments that have been cancelled in ABELDent, sorted by the Note, i.e. the reason for the cancellation, stored in the contact, and then by the date to contact. The contact date is determined by the Days for Rebooking, as set in File, Update, System Setup. This is normally 7 (seven) days after the original appointment date. Once configured and saved, the report is available for future use.
 
Note: Instructions created using ABELDent versions 3.74B03 and higher.



Steps:

1. Open ABELDent.
2. Select Reports, Generator.
3. Select Table Selection, click OK.
4. Select tables:     Contacts    
                              Patients     
5. Click OK.
6. Select Field Layout, click OK.
7. At ‘Contacts’ file Field Parameters, enter the following field values; leave all other field       values at their default.

Search By:       1 (Date)
Date:                2 A
Time Units:       0 B
Notes:              1 E
Work To Do:     0 E
Work Line 2:     0 E
Provider:           0 D

8. Click OK.
9. At ‘Patients’ file Field Parameters, enter the following field values; leave all other field values at their default.

Full Name:     3 C
Phone No:     0 F
Work No:       0 F

NOTE: SEARCH ORDER GIVEN IS (1)NOTES, (2) DATES, (3) FULL NAME. THIS MAY BE CHANGED AS NEEDED – e.g. (1)FULL NAME, (2)DATES, (3) NOTES.

10. Click OK.
11. Select Criteria Entry, click OK.
12. At Selection of Records, enter the date range to be used to search for the specified appointment contacts. E.g. Date   01/Mar/07    To   31/Mar/07
13. Enter Notes as:       Missed    To   Rebook zzzz
14. Leave all other field values at their default.
15. Click OK.
16. Select Generate Report, click OK.
17. The records will scan, using the entered criteria.
18. At Report Generation, enter the Title to print for the report.
19. Under BREAKS enter the following field values; leave all other field values at their default.

Notes:    L  99 ( or any of the Selected Fields that are to be grouped)

20. Click OK.
21. At Print report?, click OK to print report or Preview to view on the screen.
22. Select Save As, click OK.
23. Enter File name: enter a simple name that describes report, e.g. ‘cancelled’. Click Save.
 
To Open report previously configured and saved

01. Open ABELDent.
02. Select Reports, Generator.
03. Select Open, click OK.
04. Double-click report name, e.g. ‘cancelled’.
05. Select Criteria Entry, click OK.
06. At Selection of Records, enter the new date range to be used to search for the appointment contacts. Leave all other field values at their default.
07. Click OK.
08. Select Generate Report, click OK.
09. At Report Generation, click OK.
10. At Print report?, click OK to print report or Preview to view on the screen.

Note: the report setup has already been saved. It is not necessary to save it again.
